Position Overview:
This role is an entry-level position.
As the Office Administrator of our Distribution Center, you will be the key to operational excellence and problem solving within our four walls, building strong relationships with all employees and external partners. You will wear lots of different hats and be an integral part of the team, performing various administrative tasks to support business needs. This role is 5 days on-site at our Secaucus, New Jersey location.
What You’ll Do:
• Be the point of contact and coordinate all office services: i.e. coffee, breakfast, cleaning services, plant maintenance, etc.
• Ensure all supplies are ordered and well-organized.
• Dynamically optimize the space according to team needs, challenges, and changes.
• Act as chief problem solver within our physical space, proactively identifying areas of improvement, facilitating repairs, cleaning services, and filing tickets.
• Proactively manage requests and suggestions for office improvements; log issues promptly and ensure timely follow through.
• Own the planning and execution for various events such as holiday parties, office celebrations, birthday roundtables, etc.
• Own messaging information about building procedures, changes, or alerts.
• Maintain, identify, and communicate office policies and procedures, and ensure they are implemented appropriately.
• Keep up to date with office safety and regulations.
• Manage new hire welcome logistics, including maintaining swag inventory, assembling gift bags, and configuring desk spaces prior to start dates.
• Coordinate the preparation, slide formatting, and final review of presentation decks ahead of DFC all-hands meetings.
• Greet office visitors and employees upon arrival, directing them to their designated contact or meeting location.
• Record, summarize, and distribute detailed meeting minutes, tracking key decisions and action items for stakeholders when needed.
• Clear and reset workstations following employee departures to ensure desk spaces remain clean and ready for reuse.
• Ensure conference rooms and shared office spaces are clean, organized, and well-stocked on a daily basis.
• Pick up and distribute mail.
• Manage, write, and edit our monthly office newsletter to keep the team informed and engaged.

• You can comfortably lift 15-20 lb. items for mail room and office maintenance purposes.
• You are comfortable with being on-site at our Secaucus, NJ location 5 days a week.

The anticipated base range for this position is $20.00 to $25.00/hr. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held.
