Privacy Policy

Last updated: 15 October 2026

In short

  • When you apply for a job, the employer gets your application and CV. Nobody else does unless you choose.
  • Your profile is hidden from employers' candidate search unless you switch it on. Your phone number stays hidden unless you allow it separately.
  • You can hide your profile, leave the talent pool, download your data or delete your account yourself, any time, in Privacy & data.
  • We don't sell personal data.

1. Who we are

Job-Scouts.com, JVault and the Job-Scouts mobile app are run by Ekagra Tech, 9th Main Road,1st Block HRBR Layout, Bengaluru - 560043 ("Job-Scouts", "we"). For the personal data described here we are the Data Fiduciary under India's Digital Personal Data Protection Act, 2023 ("DPDP Act").

Questions, requests and complaints: our Grievance Officer, your name, privacy@job-scouts.com. We handle all support and privacy requests by email: we acknowledge within 24 hours and resolve within 15 days.

2. What we collect

  • Job seekers: name, email, phone number, CV; what you add to your profile (headline, summary, skills, education, work experience, current and expected salary, notice period, preferred locations and work type); the role, experience, industry and city you give when you join the talent pool; your applications and answers to employers' screening questions; job alerts; and every choice you make about who may see and contact you, with the date and the exact wording you agreed to.
  • Employers, agencies and their teams: name, work email, phone, company details, jobs, and what you record in JVault about candidates (stages, notes, scores, interviews, submissions to clients).
  • People at an agency's client using the client portal: name, email and the feedback you give on candidates.
  • Candidates imported by an employer or agency (from a spreadsheet or emailed CVs): what that employer gives us. The employer decides why it holds this data; we process it on their behalf.
  • Payments: plan, amount, the transaction reference or screenshot you send, and GST details for invoices. We don't collect card numbers or bank logins.
  • Use of the site: pages and actions (for example "viewed a job", "applied", "created an alert", "went to the employer's site"), device and browser type, and where you came from (for example a search engine or a campaign link). We link these to your account only if you accept analytics cookies.
  • Visitor counting without cookies: to count visitors, our server turns your IP address and browser type into a one-way code that changes every day. We don't keep the IP address or browser details with it, we delete the daily codes after 2 days and keep only daily totals. The code can't identify you or follow you from one day to the next.
  • Security logs: our web server records each request (IP address, address requested, time, browser) to keep the service secure and stop abuse.

3. Why we use it

We use personal data only for these purposes. Where we rely on your consent, you can withdraw it as easily as you gave it.

  • Your account: to create and run it and sign you in with one-time codes.
  • Applying: to send your application and CV to the employer you apply to. When a recruitment agency posted the job, the agency and the client company it is hiring for also receive it. You agree to this each time you apply.
  • Candidate search (your choice): only if you switch it on, employers and recruitment agencies using Job-Scouts can find your profile and CV and email you. Your phone number is shown to them only if you allow that separately. An agency may send your profile and CV to one of its client companies only if you allow agencies to do so.
  • Talent pool (your choice): if you join, to contact you by email about roles that match what you told us. Joining is not a job application, and we don't promise jobs or interviews.
  • Emails you asked for: job alerts, updates on your applications, interview invitations, and plan and billing emails for employers. In the mobile app, also phone notifications if you allow them.
  • Getting-started tips: a few short emails after you join; one click unsubscribes you from these without affecting other emails.
  • Safety: to verify employers, review reported jobs, and prevent fraud, spam and misuse.
  • Improving the service: using counts and statistics that don't identify you.
  • The law: to keep tax and accounting records and respond to lawful requests.

4. Who we share it with

  • Employers you apply to (and, for agency jobs, the agency and its client), as described above.
  • Employers and agencies using candidate search, only while your profile is visible, and only the parts you allowed.
  • Service providers who process data for us under contract and only on our instructions:
    • Amazon Web Services (servers, Mumbai, India)
    • SMTP2GO (sending email)
    • Sentry (error reports)
    • Google Analytics (statistics, only if you accept analytics cookies)
    • Google Maps (address search when employers post jobs)
    • Expo (phone notifications, if you use the mobile app)
  • Authorities, when the law requires it.

We don't sell personal data, and we don't share it for other companies' advertising.

5. Your choices and rights

Most of these you can do yourself in Privacy & data:

  • Show or hide your profile in candidate search. Hiding takes effect at once, including in recruiters' saved lists. Applications you already sent stay with those employers.
  • Show or hide your phone number to recruiters, and allow or stop agencies sharing your profile with their clients.
  • Join or leave the talent pool.
  • Get a copy of your data (we email you a download link that works for 24 hours).
  • Correct your details in your profile, or ask us.
  • Delete your account with an emailed code. Your account is hidden at once and erased after 120 days; until then you can sign in and keep it.
  • Withdraw any consent (profile visibility, phone number, agency sharing, talent pool, analytics cookies, tips emails). This doesn't affect what was done before you withdrew.
  • Nominate someone to exercise these rights for you if you die or can't act yourself: write to the Grievance Officer.
  • Complain: write to the Grievance Officer first. If we don't resolve it, you can complain to the Data Protection Board of India.

6. How long we keep it

  • Account, profile and applications: while your account exists. When you delete your account it is erased after the 120-day grace period. Employers keep only that a "Deleted user" applied and the stages the application went through.
  • Records of your choices (consents): kept with the erased account record, without your name or contact details, for up to 7 years, to show what was agreed and when.
  • Payment and invoice records: as long as tax and accounting law requires (currently up to 8 years).
  • Data exports: deleted after 24 hours. Upload files from unfinished imports: deleted after 2 days.
  • Usage events not linked to an account: the visitor identifier is removed after 13 months. Daily visitor codes: deleted after 2 days.
  • Security logs: 1 year, as the DPDP Rules require.

7. Security

Encrypted connections (HTTPS), one-time sign-in codes, access limited to people who need it, two-factor sign-in for our administrators, limits against automated abuse, and regular backups. If a breach affects your data, we will tell you and the Data Protection Board without delay, as the law requires.

8. Children

Job-Scouts is for people aged 18 and over. When you create an account or apply, you confirm you are 18 or older. If we learn we hold a child's data, we delete it.

9. Cookies

Essential cookies keep you signed in and secure. A referral cookie remembers, for 60 days, which company referred an employer (only to credit the referrer). Analytics cookies are used only if you accept them. See our Cookie Policy.

10. Data outside India

Our servers and database are in India (Mumbai). Some service providers listed in section 4 may process data outside India. We don't transfer personal data to any country the Government of India has restricted.

11. Changes

When we change this policy we update the date at the top. For important changes we email you before they take effect, and where a change needs your consent we ask for it.
