Role OverviewWe are looking for an experienced and detail-oriented Assistant Manager – Procurement Operations to take ownership of end-to-end Procure-to-Pay (P2P) operations, vendor management, material planning, and procurement controls.The role will be responsible for ensuring timely procurement, smooth order execution, inventory availability, commercial compliance, and accurate procurement reporting. The ideal candidate should be comfortable working cross-functionally with planning, warehouse, finance, and business teams in a fast-paced FMCG/D2C environment.Key ResponsibilitiesProcure-to-Pay (P2P) Operations• Manage and oversee end-to-end P2P processes including PR creation, PO processing, GRN, invoicing, and payment coordination.
• Ensure timely and accurate processing of purchase orders and procurement documentation.
• Drive adherence to procurement processes, controls, and SOPs.
• Identify operational gaps and implement improvements to streamline the P2P cycle.
Order & Vendor Management• Manage purchase order execution and ensure timely deliveries from vendors.
• Coordinate closely with vendors on order status, lead times, shortages, delays, and escalations.
• Work with planning, warehouse, finance, and other internal stakeholders to ensure uninterrupted material availability.
• Track and monitor vendor performance against agreed SLAs and commercial terms.
• Support vendor evaluation, performance reviews, and issue resolution.
Material Master & System Controls• Own and maintain accurate material master data in SAP.
• Ensure SKU details, pricing, MOQ, lead times, UOM, and other procurement parameters are updated accurately.
• Identify and resolve system or master-data related issues impacting procurement operations.
• Ensure data integrity and system compliance across procurement transactions.
Commercial & Process Compliance• Ensure vendor contracts, pricing terms, purchase orders, and commercial documentation are aligned with company policies.
• Monitor adherence to agreed pricing, MOQ, payment terms, and other commercial conditions.
• Support internal and external audits by ensuring procurement records and documentation are complete and accurate.
• Identify process risks and implement appropriate controls.
Inventory & Material Planning• Monitor inventory levels and proactively identify risks of stock-outs, overstocking, or ageing inventory.
• Coordinate with planning and business teams to ensure procurement is aligned with demand and inventory requirements.
• Track material availability, lead times, open POs, and pending deliveries.
• Support inventory optimisation initiatives and improve procurement planning accuracy.
Reporting, MIS & Analytics• Prepare and manage procurement dashboards, MIS reports, and vendor performance trackers.
• Track and analyse key procurement KPIs including OTIF, lead time, cost variance, open PO ageing, stock health, and vendor performance.
• Provide regular insights and updates to management on procurement performance and operational risks.
• Use Excel and BI tools to analyse procurement data and support decision-making.
Process Improvement & Stakeholder Management• Identify opportunities to improve procurement processes, reduce operational inefficiencies, and improve turnaround times.
• Drive cross-functional coordination between procurement, planning, warehouse, finance, and other relevant teams.
• Support implementation of procurement SOPs, systems, controls, and process improvements.
• Take ownership of procurement operations and proactively resolve issues before they impact business continuity.
Required Skills & Qualifications• 4–7 years of experience in procurement operations, supply chain, P2P, or procurement coordination roles.
• Strong understanding of end-to-end procurement and P2P processes.
• Experience in vendor management, PO execution, material planning, and inventory coordination.
• Working knowledge of SAP MM or relevant procurement modules.
• Advanced proficiency in Excel including Pivot Tables, VLOOKUP/XLOOKUP, dashboards, and data analysis.
• Exposure to Power BI or similar BI tools is preferred.
• Strong understanding of procurement KPIs, MIS, and vendor performance metrics.
• Strong commercial understanding with the ability to manage pricing, MOQ, lead times, and vendor terms.
• Excellent stakeholder management, coordination, follow-up, and communication skills.
• Strong analytical and problem-solving abilities.
• Ability to work independently and manage multiple priorities in a fast-paced D2C/FMCG environment.
